What information is used?

When you contact Jon, this may include your name, telephone number, email address, postcode, service address, job description, relevant photographs and records of quotes, bookings, work and payments.

The contact form sends your name, email address, full property address, optional telephone number and job description through our website to Resend for delivery to our business Outlook mailbox. The website does not save enquiry contents in its own database. Resend processes message content and delivery information to provide its email service. After the enquiry is accepted for delivery to our business, we also send an acknowledgement to the email address you supply. It includes a greeting, your postcode, relevant service categories and our pricing and contact information. It does not repeat your full property address, telephone number or original job description. Please check your email address carefully, as it is not independently verified.

To limit spam, the website stores submission counters and a daily changing, keyed hash derived from the connection IP address. Acknowledgement limits also use a daily changing, keyed hash of the recipient email address. These records contain no names, raw email addresses, property addresses or job descriptions. They expire after up to two days and are removed during subsequent submission requests. The hosting service may process technical information such as an IP address, requested pages, browser information and security logs to deliver and protect the site.

Why information is needed

We use enquiry details to assess the job, respond and prepare a quote. When you ask us to do this, our legal basis is taking steps at your request before entering a contract. We use information to arrange and carry out agreed work and manage related communications on the basis of performing that contract.

We keep records needed for accounting, tax and other legal requirements on the basis of meeting legal obligations. Protecting the website from spam, keeping the business secure and dealing with necessary follow-up or disputes are our legitimate interests. We consider your interests and rights when relying on that basis.

You choose whether to make an enquiry. The form marks the details required to submit it; these help us identify the property, understand the work and reply. You can also contact us by telephone or email. Sending an enquiry does not confirm a booking or give permission for unrelated marketing. Personal information is not sold.

A person reviews your job and discusses availability and pricing. The website does not automatically decide whether we will take on your job or what you will be charged. It uses automated spam checks and fixed service labels for the acknowledgement; these do not decide your booking.

Photographs

Photos are optional at first contact. Please show only the relevant fitting and access. Avoid people, documents, keys, security systems or unrelated private areas. Photos sent for a quote are not treated as permission to publish them; any use as a public work example requires separate permission.

Service providers and overseas processing

Information may be processed by providers used for email, telephone, website hosting, business records and payments, and by professional advisers where necessary. The published contact mailbox uses Microsoft Outlook; this site is hosted through OpenAI Sites and Cloudflare, and contact-form delivery uses Resend. Information is shared only where needed for the relevant purpose or required by law.

Resend stores message content and delivery records in the United States. Choosing a European sending region changes where messages are sent from, not where Resend stores them. Its published Data Processing Addendum includes Standard Contractual Clauses with a UK Addendum for UK transfers. You can read that agreement for a copy of those safeguards or contact us for further transfer information.

Resend uses subprocessors for delivery, storage and security. It states that a small sample of emails is processed for trust and safety on RunPod infrastructure operated by Resend. Normal API sending is not sent to Anthropic, and Resend states that neither it nor these AI subprocessors use customer content to train or fine-tune models. See its data protection information.

Our hosting and mailbox providers may also process information outside the UK. Contact us if you would like more information about the providers and transfer arrangements relevant to your enquiry.

How long information is kept

Resend states that email content and delivery logs are retained for 30 days on its Free plan, with backups retained for seven days. The copy delivered to our Outlook mailbox is managed separately by the business. We review enquiry information and keep it for as long as needed to respond and manage relevant follow-up. Where work proceeds, we keep necessary records for accounting, contractual and legal obligations, taking account of applicable limitation periods. We remove unnecessary copies and unrelated photographs when they are no longer needed for those purposes. You can ask about the retention of your particular record.

Your choices and rights

Depending on the circumstances, you can ask for access, correction, deletion or restriction of your information, or for a portable copy. Contact us using the details above.

Your right to object

You can object to processing based on our legitimate interests. Contact us and explain your circumstances; we will consider your request under data protection law.

Data protection complaints

If you are concerned about how we use your personal information, you can complain to J Perry & Sons Ltd by email, telephone or post using the details above. You do not need to use a special form. We will acknowledge your complaint within 30 days, investigate without undue delay, keep you informed and explain the outcome.
